Step 1: Every exhibiting organization receives an online profile page in the Exhibitor Directory. To log in and manage your organization's  content:

  1. Access the Online Portal Website 
  2. Select Login, enter the Primary Contact's email address and password. If this is the first time logging in to the ACT Online Portal website, enter the Primary Contact email address and select "Forgot Password?" an email will be sent to the Primary Contact with instructions on how to reset the password.

Step 2: You are now entered into the Online Portal page. Select the tab: Your Online Profile from the navigation bar. Follow the prompts to review, edit, and add enhancements to your organization's profile page, such as your organization's logo, a cover photo, a tile photo, a description, website address, searchable product categories, and contact information. 

Step 3: Contact Exhibits@actox.org if you need assistance.

Returning Exhibitors
Visit the Booth Request Center on our website and enter your password to complete the form. If you do not know this password, please contact your Primary Contact to request access or if you are replacing a former account holder, contact ACT Exhibits Manager, Karen Cook and request access.

First-Time Exhibitors
Click on CLICK HERE next to NEW EXHIBITORS to create a new account for your organization. Be sure to include the name and email address of your organization's primary contact – the person who is to receive all correspondence regarding your ACT Booth.

2026 Exhibit Space Fee Options

Option 1: Full Payment (Standard Rate – No Increase)

Full payment due February 15, 2026 to retain 2025 rates.

  • For-Profit Commercial Booths:
    • Inline: $3,000
    • Corner: $3,250
  • Note: If Option 1 is selected but full payment is not received by February 15, 2026, the account will revert to Option 2 and a $300 contract/financial statement change fee will be applied. Your 50% non-refundable deposit must be received by February 15, 2026, to maintain your booth space, and the remaining balance must be paid no later than June 1, 2026. 

Option 2: Two-Payment Plan (Adjusted Rate)

Includes a $300 administrative fee.

  • For-Profit Commercial Booths
    • Inline Booth: $3,300
    • Corner Booth: $3,550 
  • 50% deposit due February 15, 2026; balance due June 1, 2026.
  • Note: If the full balance is not received by June 1, 2026, the exhibit space may result in forfeiture of booth space and payments made.

Nonprofit Booths (Qualified Nonprofit Organizations Only)

  • Inline Booth: $2,750
    • 50% deposit due upon contract acceptance; balance due June 1, 2026.
    • Applications open April 1, 2026.
      • Note: Nonprofit booth assignments will be made after all for-profit exhibitors have been placedNonprofits wishing to select space during the priority process must register at the for-profit rate.

The exhibit hall is carpeted. Exhibitors may rent booth carpet through Alliance Exposition Services if they so choose.

Commercial Package Includes: Two (2) Full Registration badges; 8’ high back and 3’ high side drape; 6’ draped table, two chairs, one wastebasket; 7" x 44" standard booth identification sign; Booth number floor stickers (as permitted by the hotel).

Nonprofit Package Includes: One (1) Full Registration badge; 8’ high back and 3’ high side drape; 6’ draped table, two chairs, one wastebasket; 7" x 44" Standard Booth Identification Sign; Booth number floor stickers (as permitted).

Exhibitors must register booth personnel by logging into their ACT Expo Directory online profile, where instructions for online registration will be available.

To ensure timely access to the ACT Event App and self-service badge printing, all complimentary registrations and any changes must be submitted by November 1, 2026.

All booth staff must register and wear the official ACT Annual Meeting badge, accompanied by the ACT-issued exhibitor ribbon. Badges must be picked up in person at the ACT Registration area during scheduled hours. Any modifications needed to the badge must be made by registration personnel at the Registration desk.

Invitation Letter

To request a formal invitation letter for Visa purposes, please send an email to exhibits@actox.org. Be sure to include your name, title, name of organization, and mailing address.

Securing a Visa

Information for securing a travel visa will become available on the International Attendance page of the 2026 Annual Meeting website (coming soon). 

Letter of Attendance

A letter or certificate of attendance for Visa purposes can be provided to you at the on-site registration desk in San Antonio. A signed copy of your registration confirmation may also be requested at that time.

Exhibitors utilizing independent contractors must provide the College with a certificate of insurance of not less than US $1,000,000 by October 30, 2026.

Alliance Exposition Services is the official General Service Contractor (GSC) for the ACT Expo. Before the show, an Exhibitor Service Kit will be sent to each Exhibitor, including information regarding furnishings, shipping and drayage, electrical, telephone, and other services.

Exhibiting companies wishing to utilize the services of third-party contractors must notify the College and the official General Service Contractor (GSC), Alliance Exhibition Services and return to the College and GSC by October 25, 2026. If the College and GSC do not receive this form by the deadline, it will be assumed that your company will use the services of the GSC. All exhibitors or appointed representatives are responsible for their paperwork.

The official general exposition services contractor, Alliance Exposition Services, has jurisdiction over the operation of material handling, including unloading, reloading, and handling of empty containers. However, exhibitors may move material that can be hand-carried by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment. Details on material handling will be provided by Alliance Exposition Services.

* ACT reserves the right to adjust the ACT Expo schedule, and exhibitors will be informed if the schedule changes. Exhibitors with the official ACT exhibitor registration badge and ribbon will be able to enter the exhibit hall for move-in on Saturday and Sunday and early access during show days beginning at 7:30 am on Monday-Wednesday. 

Move-In:

Sunday, November 15, from 2:00 p.m. to 6:30 p.m.

Exhibits must be set up by 6:30 p.m. on Sunday, November 15, 2026. This applies to single 8'x10' booths. Double booths may receive an earlier time frame, which will be determined before the meeting.

Move-Out:

Tuesday, November 17, from 4:30 PM to 6:30 PM (overtime rates apply).

All materials must be packed, ready, and removed from the exhibit area by 6:30 PM on November 17, 2026. The exhibitor will be liable for all storage and handling charges if the exhibit is not removed by the specified time and date.
