High-visibility vests have to be worn by all exhibitors, contractors and booth builders at all times during move-in and move-out periods. Installation of Exhibits

Thursday, May 2  7:00 AM - 7:00 PM

All exhibits must be completely set up by 7:00 PM on Thursday, May 2. If your booth is not set up by this time, you will have three points deducted from your account.

Booth Guidelines

Island Booth Floor Plan Approval

All exhibiting companies with island booths (20x20 or larger) must submit a floor plan for approval to erika@theaestheticsociety.org no later than January 31, 2024.  Floor plan must include scale drawings, booth dimensions, elevations, hanging signs, etc.  

 

Dismantling of Exhibits

Sunday, May 5  2:30 PM - 11:00 PM

 

All exhibits MUST REMAIN INTACT until the official closing time - Sunday, May 5 at 2:30 PM.  If you dismantle your booth prior to this time, you will be penalized, and three points will be deducted from your account. Please plan your travel accordingly.

 

Shipping and Material Handling
Shipping and customs clearance services
  • All shipments originating outside Canada will require Canada Customs Clearance and U.S. Customs / Homeland Security (if applicable) on the return.
  • Canada is an international destination and as such, duties, taxes and customs clearance fees apply.
    • If you are shipping Air or Ground with the following small packages companies, FedEx, UPS, Airborne, DHL, Purolator or any other small package/boxes carriers please confirm that all ancillary charges (duties, taxes & Customs clearance fees) are PREPAID. This includes 3rd Party Shippers (ie:Fullfillment Centres, etc.). Any shipments that are sent collect will not be accepted by Freeman and they will be refused.
    • In some instances, carriers do not declare ancillary collect charges upon delivery to our warehouse and Freeman is billed 30-90 days after the event has closed. In these situations, any charges (duties, taxes & Customs clearance fees) are re-billed to the exhibitors plus “Advancement Fees”.

Warehouse shipping information
  • Ship early to avoid delays and save money.
  • Freeman will accept crated, boxed or skidded material beginning April 1, 2024 at the above address.
  • Material arriving after April 25, 2024 will be received at the warehouse with an additional after deadline charge.
  • Please note that the Freeman Warehouse does not accept uncrated freight (loose, pad-wrapped material and/or unskidded machinery), COD shipments, hazardous materials, freight requiring refrigerated or frozen storage, a single piece of freight weighing more than 5,000 pounds or a single piece of freight beyond the dimensions of 108"H x 93"W.
  • Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:30 AM - 4:00 PM
  • Certified weight tickets must accompany all shipments.

Voyage Control is used at the Vancouver Convention Centre as cutting-edge "Air Traffic Control" for inbound and outbound logistics managament. A powerful and easy-to-use software platform enables ground transport hubs to proactively manage, optimise, track, and communicate with their traffic congestion, improving driver experience, and benefitting the environment.

Voyage Control is a cloud-based software platform that facilitates delivery scheduling, resource allocation, and overall logistics management.  All exhibitors will be required to register on the Vancouver Convention Centre’s website to obtain your move-in date and time.
