As part of our COVID health and safety policies, NCTM will require all attendees and exhibitors, regardless of vaccination status, to show proof of a negative COVID test within 48 hours before badge pick up. At-home tests will be acceptable, and attendees will upload test results via the Crowdpass app on behalf of NCTM. We will share specific instructions for downloading the app and uploading test results two weeks before the event (September 14).

Exhibitors are required to provide carpet/floor covering for your booth. Floor covering needs to cover at least 90% of your booth space. To enhance the appearance of your booth, rental carpet is available through Freeman. Please refer to the Carpet Brochure and Order Form in the Exhibitor Service Kit.

Booth Setup and Dismantling
In fairness to all exhibitors, IAEE's exhibit construction guidelines as provided must be observed.

ADA Accessibility
Exhibitor must comply with all laws, ordinances, and regulations pertaining to the Americans with Disabilities Act (ADA). Compliance with ADA is mandatory for all Exhibitors within its exhibit space. NCTM and service contractors have no responsibility pertaining to the compliance with laws as far as individual Exhibitor's space, materials and operation is concerned. The convention center shall be responsible for all ADA accessibility requirements relating to teh exhibit show space adn attendance facilities. NCTM shall be responsible for readily achievable, nonpermanent ADA accessibility requirements which are applicable to NCTM if not otherwise provided by the convention center. Exhibitor agrees to comply with any ADA provisions applicable to the Exhibitor's space.

With the announcement of the negative COVID-19 testing requirement for all attendees, the question of cancellation policy for exhibitors was brought to our attention. NCTM’s cancellation refund policy applies to attendee registration fees only and excludes complimentary exhibitor attendee registrations/exhibit booth staff personnel. There is no extension of this policy to include booth space or to negate booth obligations. As an organization, we are happy to allow you to substitute a colleague to staff your booth.

If there are extenuating circumstances that you feel warrant a second review, you will be able to submit a consideration form to NCTM for a transfer of booth fees to a future NCTM event. Please note, all consideration requests must be:

  1. Submitted in writing
  2. Accompanied by photo evidence of the positive test and/or decline from CrowdPass

In addition, consideration does not imply consent and determinations for the transfer of funds will only be made once the event concludes within 10 business days.
